Process to request transcripts from KCMA
Federal regulations require a written release from the student.
This release may be in the form of a letter or completed transcript
request form. All requests must have the signature in order to release
the record. Requests may be sent to: Registrar’s Office, Kettering
College of Medical Arts, 3737 Southern Boulevard, Kettering, OH
45429. At this time we cannot accept requests by telephone or e-mail.
Transcript requests received without payment
or signature cannot be honored.
The written request must include the following, or it will be returned
to the student.
- Full name, typed or printed, with all previous names listed.
- Signature (required by law).
- Number of transcripts needed.
- Address(es) of where transcripts are to be sent. Use the complete
address, not just a name and a city of college. Please include specifics, i.e.
department, office, individuals, etc. (Students are responsible for the correct address.)
- Telephone number and your home address required to complete
process.
- Social security number, date of birth, and last year of attendance
are helpful identifiers but not required.
- If you currently are enrolled and you want pending grades and/or degree certification
noted, you must request this and expect a delay. Otherwise, transcripts will be processed
within 5 business days.
- All financial obligations must be cleared before transcript requests will be processed.
Is there a transcript fee?
Yes. A $5 fee is charged per transcript. In-person payment may be
cash, check, or money order. Mailed payments should be made by check
or money order. We urge you not to send cash through the mail. A
$7 charge per copy is made for same day service.
How are my transcripts sent?
Transcripts are sent by first-class mail through the U.S. Postal
System. Most colleges refuse hand-carried transcripts and require
transcripts be mailed directly to them. If the recipient requires
transcripts in a sealed envelope, the initial request must indicate
accordingly. We do not e-mail transcripts, however upon special
request, transcripts may be faxed.
When can I expect my transcripts to be sent?
You should allow five to ten business days for processing during
end-of-the-term grade processing times. Regular transcripts are
released within three to five business days. Same-day service is
available for $7 per transcript copy and will be mailed within 24
hours. Same day service does not mean transcripts are sent by express
mail. Students must present photo identification when picking up
transcripts.
Can I order an "unofficial transcript"?
No. All academic transcripts are official.
